Job Responsibilities
- Greets colleagues, clients, and visitors in a professional manner
- Answers telephone calls promptly and directing calls onwards
- Handling incoming mails distribution and outgoing mails with franking machine
- General administration duties, including handles courier service; order stock for stationary, paper, pantry supplies and business card;
- Supporting HR duty, including but not limited to new staff's onboarding, updating seating and floor plan, issuing access cards, etc.
- Maintains office keys and access cards records
- Contacts vendors for repairs and maintenance, warehouse storage and recall, and confidential shredding services
- Reviews, and processes admin invoices for payment approval, and prepares monthly summaries
- Perform other ad hoc tasks assigned by supervisor or HR teams
Requirements:
- Diploma holder, formal secretarial training an advantage
- At least 2 years’ relevant experience
- A team player with good communication and interpersonal skills
- Good customer services manner and strong communication skill
- Able to multi-task and work under pressure
- Attentive to detail, independent, and good time management skills
- Good command of written and spoken English, Cantonese and Mandarin
- Proficiency in MS Word, Excel, PowerPoint and Chinese word processing
- Immediate available is highly preferred
