JOB DESCRIPTION

Our Executive Office Manager will be at the heart of the effective day-to-day running of UpWider’s office. As an EOM in our team, the main tasks will mainly be around:

1. CEO’s office:

· You support the CEO in his activity: administrative aspect, daily executive organisation, contracts, ….

· Participate to the management of office expenditures and budgets and undertake other accounting responsibilities

· You are responsible for the administrative and HR payroll aspect & process for the team

2. HR:

· HR: Support the HR and Business Developers teams

· Prepare for new hires (i.e. arrange documentation, send welcome mail, install workstation, welcome new employees at their arrival, …)

3. Coordination / accueil :

· Represent UpWider’s values while welcoming our company guests and visitors

· Are responsible for scheduling appointments and managing meeting rooms

· Handle all deliveries, calls and e-mails promptly and professionally and transferring them to the relevant departments responding to requests efficiently

4. Cooperation / communication

· You take initiative, operate within delegated authority and keep management informed

· Assist Managers in their activities (including i.e. company workshops, events, …)

· Organize and improve office operations

SEARCHED PROFILE

· Fluent in English, fluent Dutch AND/OR French

· First professional experience OR already professional experiences

· You hold at least a bachelors’ degree

· You have a strong eye for detail, and you are process-oriented

· You have excellent organizational, administrative and communication skills

· We are looking for a professional and outgoing personality

· Someone who can work autonomously and brings energy (positive, can-do attitude / mindset)
